AI receptionist vs outsourced call center: how to choose

Este artículo solo está disponible en inglés.
An AI receptionist answers every call, at any hour, and works directly with your tools; an outsourced call center or answering service gives you human operators, but during the hours and within the minutes set by the contract, and it usually takes messages rather than resolving requests. The right choice depends on what your customers ask on the phone, when they call and how much control you want over conversations.
This article compares the two on cost, hours, quality, data and integrations, with a summary table and some practical criteria for deciding.
Two ways to stop missing calls
Outsourced call center and answering service
An external company answers the phone on your behalf. In small-business packages, often sold as a "virtual receptionist" or "remote secretary", an operator answers with your business name, takes a message and forwards it to you by email, SMS or app; some services also manage your calendar. In full call centers, operators follow more elaborate scripts for support or sales.
AI receptionist
An AI-powered phone assistant answers by voice, understands the request in the caller's own words and holds a conversation. It can give information, book appointments in your calendar, qualify a sales lead and send a written summary of every call. When needed, it transfers the call to a person.
What they cost: pricing models compared
Answering services for small businesses often publish a price list with a monthly fee, included minutes and a rate for extra minutes. A concrete example from Italy: in MySegretaria's public price list, checked on 3 October 2026, the entry plan costs €35 + VAT every 30 days with 44 minutes included and €0.79 for each extra minute, with service from 8:30 to 19:30, 7 days a week. Higher plans include more minutes at a lower per-minute rate.
This model has two practical consequences:
- cost grows with call length: at high volumes, extra minutes add up;
- outside service hours calls stay uncovered, unless you pay for extended coverage.
AI receptionists use similar models (subscription with included minutes, pay-per-minute or custom quote), but with round-the-clock availability and no cost tied to the number of operators. Point-by-point comparison
| Aspect | Outsourced call center / answering service | AI receptionist |
|---|---|---|
| Who answers | Human operators from an external company | An AI voice assistant configured for your business |
| Hours | Those in the contract (e.g. 8:30-19:30) | 24/7, holidays included |
| Simultaneous calls | Depends on available operators | Several calls in parallel |
| What it does | Usually takes messages; some services manage the calendar | Answers, informs, books, qualifies, transfers |
| Knowledge of your business | Scripts and briefing notes, rotating operators | Instructions and information you update, always consistent |
| Integrations | Provider's email, SMS or app; shared calendar in some cases | Calendar, CRM, WhatsApp, email, automations |
| Call data | Operator's message or note | Written summary, transcript, structured data |
| Cost model | Fee + included minutes + extra minutes | Subscription, usage or quote |
| Human touch | Always a person | AI, with handover to a person when needed |
| Transparency | Human operator | Must disclose it is an AI (EU AI Act, Art. 50) |
Quality: people versus consistency
The strength of outsourcing is obvious: there is a person on the line. They can improvise, handle the unexpected and reassure a customer in trouble. The limit is that operators work for many companies, change over time and know your business only through the instructions you gave them. So they often take the message and leave the answer to you.
An AI receptionist doesn't improvise like a person, but it is consistent: it gives the same information, in the same way, at any hour. If you set it up with your hours, services, appointment rules and answers to frequent questions, it resolves a large share of calls directly. Sensitive situations, such as a complex complaint or an emergency, should be covered by rules for transferring to a person.
Data, privacy and control
With an external service, conversations pass through another company, which processes data on your behalf: you need a written agreement and a privacy notice for callers. The same applies to an AI assistant, plus the question of recordings and transcripts. In Italy, the data protection authority (Garante), in its decision of 18 April 2018 on recording and analysing calls, pointed for example to a short notice during the call that refers to the full privacy notice.
The advantage of AI is control: every call leaves a summary and, if enabled, a transcript you can read back. You know why people call, at what time and with what outcome. And since 2 August 2026 the assistant has to say it is an AI: see our article on AI phone assistants and the EU AI Act.
Integrations: where the call ends up
This is the most underrated difference. With outsourcing, a call usually becomes a message to deal with. With an AI receptionist connected to your tools, the call becomes directly:
- an appointment in your calendar (for example Google Calendar or Calendly);
- a contact or task in your CRM;
- a WhatsApp confirmation message to the customer;
- a row in a spreadsheet or an automation with Zapier or n8n.
That is exactly what yourang.ai integrations are for: nobody has to retype what was said on the phone.
How to choose: four questions
- What do your customers ask? If it is mainly information, bookings and repetitive requests, AI resolves them. If judgement and negotiation are often needed, you need people.
- When do they call? If many calls come in the evening, at weekends or on holidays, a service with limited hours leaves exactly that slot uncovered.
- How long are calls and how many are there? With a fee plus extra minutes, high volumes and long calls push the cost up.
- Where should the data go? If you want appointments and contacts straight in your tools, integration matters more than the message.
An example: the same day with each solution
Picture a physiotherapy practice that gets calls all day. At 13:15, during the lunch break, a patient calls to move Thursday's appointment. At 20:30 a new patient asks whether the practice treats a certain problem and when there is a free slot. On Saturday morning three calls come in to book.
With an outsourced answering service running from 8:30 to 19:30, the 13:15 call is taken by an operator, who records the request and forwards it to the practice: someone will have to call the patient back to confirm the new time. The evening and Saturday calls, if outside service hours, go unanswered or end up in voicemail.
With an AI receptionist connected to the calendar, the 13:15 patient moves the appointment on their own and gets a confirmation; the 20:30 caller gets information about treatments, books the first free slot, and the practice finds the request in the next morning's summary; the three Saturday calls become three appointments in the calendar. It is an illustration, not a measurement, but it shows where the difference lies.
The hybrid setup
Many businesses don't choose: they use both. The AI receptionist answers every call, at any hour, and resolves the simple ones; calls that need a person are transferred to in-house staff or an external service. That way people work only where they are really needed.

Preguntas frecuentes
What is the difference between an AI receptionist and an outsourced call center?
An outsourced call center or answering service uses human operators from an external company, during hours and with minutes set by the contract. An AI receptionist is software that answers every call by voice, at any hour, and works directly with the business's calendar and CRM.
How much does an outsourced answering service cost?
Public price lists usually combine a monthly fee with included minutes and a rate for extra minutes. For example, in the Italian provider MySegretaria's price list checked on 3 October 2026, the entry plan costs €35 + VAT every 30 days with 44 minutes included.
Is an AI receptionist available at night and on holidays?
Yes: an AI phone assistant answers 24/7, including several calls at once. Services with human operators follow the hours set in the contract.
When is a call center with human operators the better choice?
When calls often require judgement, negotiation or handling sensitive situations, when volumes are very high and structured, or when customers always expect a person.
Can they be used together?
Yes. A common setup is to let AI answer every call, resolve the simple ones and pass to operators, in-house or external, only those that need a person.
