Hotel front desk phone: 24/7 and in every language

A hotel front desk phone rings at the worst moments: during check-ins, at night, in peak season and often in a foreign language. To stop missing calls without hiring a second receptionist, you can let an AI phone assistant take the first answer: property information, booking requests and late arrivals, in the caller's language. Rate and availability confirmations, complaints and guests who need a person stay with the front desk.

This guide covers which calls a hotel gets, how to cover nights and peaks, what to delegate and what not, a sample call and a checklist. It applies to independent hotels, B&Bs, aparthotels and guesthouses with a small front desk.

Why the front desk phone is a problem

The phone is still a major booking channel for hotels. According to HOTREC's European Hotel Distribution Study 2026, direct telephone bookings accounted for 14.1% of overnights across European hotels in 2025, and for 19.6% in Italy, where direct channels reach 64% of overnights. Only 26% of the hotels surveyed say they currently use AI.

Many callers are also foreign guests. In 2025 international guests accounted for 55.3% of nights spent in Italian accommodation, and more than three quarters in Rome, Milan, Venice and Florence, according to ISTAT, Italy's national statistics office. The same holds for most tourist destinations in Europe: the front desk has to work in several languages.

At a small or mid-sized property there is usually one person on the desk per shift. When a group arrives to check in, the phone keeps ringing. Someone calling to ask about a room often does not call back: they try the next hotel or book through a booking site.

The phone also ignores front desk hours. Guests with a delayed flight call to say they will arrive after midnight, travellers call from another time zone, and people ask for a weekend quote from work. Many of these calls have an answer the hotel already knows.

The calls a hotel gets

Type of call Example Who can answer
Property information "Is there parking?", "Do you allow dogs?", "When is breakfast?" The AI assistant, with the hotel's own wording
Booking requests and quotes "Do you have a double from the 12th to the 14th?" The AI collects the details, the front desk confirms
Late arrival "My flight is late, I'll arrive at 2 am" The AI logs it and tells the front desk
Changes and cancellations "Can I move my stay by one day?" The AI logs it, the front desk decides
In-house services Restaurant, spa, transfer, baby cot The AI collects the request for staff
Guest already on site "The heating in my room isn't working" Immediate transfer to the front desk
Complaints and sensitive cases Disputed charges, health issues Always a person

The practical rule: anything with a written answer (hours, services, house rules, directions) can be delegated. Anything that commits the property (a rate, a confirmation, a refund) stays with the front desk.

Answering the phone in every language

For a European hotel, international guests are a large part of the business, and they call in their own language. A receptionist who speaks good English is common; one who also speaks German, French or Chinese is much rarer, and rarer still at night.

An AI phone assistant answers in the caller's language, using the information the property has written. That is why it pays to prepare the property's details in every language you work in: check-in and check-out, parking, pets, breakfast, how to get there from the station or the airport. The German guest then gets the same answer as the Italian guest, not an improvised translation.

Nights and peak season: the options

There are four ways to cover the phone when the front desk cannot answer, and they are often combined.

Night porter On-call mobile Voicemail AI phone assistant
Hours Night shift Whenever someone picks up Always, but only records 24/7
Languages The porter's The on-call person's A recorded greeting The caller's
Several calls at once No No Yes, but nobody answers Yes
Booking requests Yes Yes, with effort Only a message to call back Collected and forwarded
Guest with a problem in the room Handled in person Handled remotely No Transferred to the on-call person

A night porter is irreplaceable when you need someone physically on site. For calls, an AI assistant can act as the first filter: it answers everyone, closes simple questions on its own and only wakes the on-call person for urgent cases. For a comparison with outsourced operators, see AI receptionist or outsourced call centre.

A sample call

This is an example transcript, not a real call. Saturday, 11:40 pm, the front desk is closed.

Assistant: Good evening, Hotel Aurora. I'm the hotel's virtual assistant, an artificial intelligence. How can I help you?

Guest: Hi, we have a booking for tonight, but our train is late. We'll be there around one.

Assistant: No problem. May I have the name on the reservation?

Guest: Müller, two people.

Assistant: Thank you. I've told the front desk you'll arrive around 1 am, and I'm sending you the night entrance instructions on WhatsApp. Is there anything else?

Guest: Is there parking?

Assistant: Yes, there is a private car park behind the hotel, and the night entrance is on the same side.

The next morning the front desk finds a note with the name and arrival time, the transcript and the message sent to the guest. Nobody was woken up, and the guest knew what to do.

What to delegate and what not

You can hand to an AI phone assistant:

  • frequently asked questions, in your guests' languages;
  • booking and quote requests, with dates, guests, room type and contact details;
  • late arrivals and night entrance instructions;
  • requests for the restaurant, spa and transfers, passed on to staff;
  • overflow calls when the front desk is busy.

Keep with people:

  • confirming rates and availability, unless the assistant reads your property management system;
  • complaints, refunds and disputed charges;
  • guests in difficulty or who ask to speak to someone;
  • emergencies on site, with an immediate transfer to the on-call person.

Checklist

Before deciding, call as if you were a foreign guest and check these points:

  1. It introduces itself as an AI in the first sentence, as the AI Act requires.
  2. It answers in your language and the guest's, with the property's information rather than generic answers.
  3. It does not promise rates or availability it cannot check.
  4. It collects requests in order and sends them where the front desk works: email, WhatsApp or a shared sheet.
  5. It passes the call to a person under rules you set, for example for guests already on site.
  6. It works with your current number, even only at night or when the line is busy.
  7. It leaves a record: a transcript and summary of every call.

If for now you only need a good greeting for when the desk is closed, there are ready-to-use scripts in the professional voicemail greeting examples.

The yourang.ai phone assistant for hotels

yourang.ai is an AI phone assistant that answers the property's number through call forwarding, even only at certain hours, or through a SIP trunk if the hotel has a PBX. It introduces itself as an AI assistant and answers in the caller's language with the information the property writes. It collects booking requests, changes and cancellations and passes them to the front desk on WhatsApp, by email or in a Google Sheets log; if the property management system has an API, it can query it during the call. Calls from guests on site or about a problem in the room go to the front desk under the forwarding rules you choose.

See the details on the hotels page. The quickest way to find out if it fits your property is to hear it answer: book a demo and we will set it up with the services, hours and rules of a hotel like yours.

Frequently asked questions

Can an AI phone assistant confirm a hotel booking?

Usually it collects the full request (dates, guests, room type, contact details) and passes it to the front desk, which confirms rate and availability. If the property management system has an API, the assistant can query it during the call and say right away whether rooms are free.

Which languages does an AI phone assistant speak?

The caller's language: English, German, French, Spanish, Italian and many more. The property's information should be written in the languages you need, so the answers stay the ones the hotel has approved.

How do you cover the front desk phone at night?

There are three main options: a night porter, forwarding to an on-call mobile, or an AI phone assistant that answers every call and only passes urgent ones to a person. Many properties combine the last two.

Do I need a new number or phone system?

No. The assistant works through call forwarding from your current number, even only at certain hours or when the front desk does not pick up. If the hotel has a PBX, it can also connect through a SIP trunk.

Do guests have to be told they are talking to an AI?

In the EU, yes. Article 50 of the AI Act requires people to be informed when they interact with an AI system, unless it is obvious. The assistant says so in its first sentence.
